Email delivery, spam and password help
Updated Sep 15, 2026Email delivery depends on your mailbox, your domain's DNS records and the receiving provider's filters. Most delivery problems come down to a small number of causes that are straightforward to check.
When messages do not arrive
- Check spam and quarantine folders on the receiving side, including any company filtering service.
- Look for a bounce message. A returned email usually states the reason, such as "mailbox full", "user unknown" or a policy rejection. Keep the full text for support.
- Check your storage. A mailbox that has reached its storage limit cannot receive new mail. Delete old mail or add storage through a new email request.
- Confirm the MX records if no mail arrives at all. They must point to the mail service for your domain.
Staying out of spam: SPF, DKIM and DMARC
Receiving providers use three DNS records to decide whether a message claiming to be from your domain is genuine:
- SPF lists the servers allowed to send mail for your domain.
- DKIM adds a cryptographic signature that proves the message was not altered.
- DMARC tells receivers what to do with messages that fail SPF or DKIM, and where to send reports.
These are TXT records added wherever your domain's DNS is hosted. If you send mail through more than one service, such as your mailbox plus a newsletter platform, every sending service must be included in SPF and configured for DKIM. Good sending habits
- Avoid sending large bulk mailings from a regular mailbox; use a dedicated newsletter service.
- Only email people who expect to hear from you, and include a way to opt out of marketing messages.
- Keep subject lines and content clear. Heavy use of capital letters, many links or attachment-only messages look suspicious to filters.
Resetting a mailbox password
If you still have access to your YallowHost account, you can view the current password on the mailbox page with Reveal. To set a new one, for example after a staff member leaves, choose Request password reset from the mailbox page. After our team applies the new password, update it on every device that uses the mailbox, or those devices will keep failing to sign in.
If you believe a mailbox has been compromised, for example if it is sending messages you did not write, request a password reset immediately and open a High priority ticket.
